The Annual Fund & Database Manager reports to the Director of Development and serves as a member of the Development Team (within the broader Advancement Department). This position supports all aspects of the annual fund, including identifying, cultivating, soliciting, and stewarding prospects and donors. This position is responsible for performing data analysis and maintaining donor data integrity within the database. Advocates hosts various events year-round, and as such there will be occasional “after-hours” work on evenings or weekends and occasional travel within Massachusetts. This position is hybrid with the expectation of being in the office at least twice a week.

Responsibilities

  • Oversee gift acknowledgement process and assign tasks accordingly
  • Perform detailed segmentation of various groups of constituents
  • Generate mailing lists (e.g., appeals, invitations, etc.) and interact with mail house
  • Manage event registration lists, payments, and pledge invoicing
  • Review donor giving history to determine ask amounts/gift strings for appeals
  • Identify annual fund and major gift prospects through research using donor database and wealth screening tools
  • Perform complex data analysis requiring critical thinking skills
  • Evaluate annual fund performance, identify trends, and report on results
  • Prepare reports and metrics for agency’s fiscal department and leadership teams
  • Maintain integrity of data to ensure records are accurate
  • Partner with Director of Development on forthcoming database conversion
  • Support fundraising and cultivation events with planning and staffing
  • Assist with Gala solicitations less than $1,000
  • Partner with Events Manager to develop cultivation events
  • Create and manage prospect and donor cultivation activities/touchpoints
  • Attend and actively participate in supervision and staff meetings
  • Adhere to all principles related to The Advocates Way
  • Ensure that people we support are treated with dignity and respect in accordance with Advocates' Human Rights policies
  • Perform all duties in accordance with agency policies and procedures

Qualifications

  • Bachelor’s Degree and minimum of 3 years’ relevant experience
  • Database/CRM software experience preferred
  • Excellent written and verbal communication; proficient in writing and editing
  • High proficiency with technology, specifically MS Office Excel
  • Critical thinking and data analysis skills
  • Ability to handle multiple projects and deadlines
  • Ability to thrive in both team and independent environments
  • Ability to work occasional evenings and weekends
  • Must be able to perform each essential duty satisfactorily
  • Must hold a valid driver’s license and have access to an operational and insured vehicle
  • Strongly prefer a candidate that will have a demonstrated understanding of and competence in serving culturally diverse populations
