Salary Range- 52-55,000

 

The Office Manager is responsible to coordinate and perform clerical duties as required in the program to which assigned. Office Manager will oversee and train all office staff.

Responsibilities

  • Analyze and organize office operations and procedures such as typing, flow of correspondence, filing, requisition of supplies, and other clerical services.
  • Evaluate office production, revise procedures, or devise new forms to improve efficiency of workflow.
  • Establish uniform practices and ensure practices are followed
  • Supervise, provide feedback and train office staff in all responsibilities. Provide backup coverage when required
  • Maintain administrative budgetary restrictions are met
  • Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Prepare activities report for guidance of management.
  • Direct, develop and produce special projects as directed.
  • Answer phones providing information to service providers and support to program clients.
  • Responsible for monitoring the up-keep of the site.
  • Maintain a welcoming, trauma informed, culturally sensitive environment and treatment approach
  • Attends and actively participates in supervision and staff meetings.
  • Attend trainings as assigned; maintain necessary certifications (CPR, First Aid, MAP).
  • Adhere to all principles related to the Advocates Way.
  • Assist with medical tasks as required
  • Strictly adhere to all HIPPA regulations and maintain confidentiality at all times
  • Ensure that individuals we support are treated with dignity and respect in accordance with Advocates’ Human Rights policy.
  • Perform all duties in accordance with the agency’s policies and procedures.
  • Strictly follow all agency Performance Standards.

 

Qualifications

  • High School Diploma or GED and 3 year experience in an administrative role with supervisory responsibility
  • Must be able to perform each essential duty satisfactorily.
  • Excellent communication skills, both oral and written.
  • Must have Strong computer skills.
  • Ability to maintain strict confidentiality at all times
  • Strongly prefer a candidate that will have a demonstrated understanding of and competence in serving culturally diverse populations
  • Strong computer skills and report writing
  • Strong and engaging communication skills, both written and spoken.
  • A wide knowledge of the organizational and initiative branding and marketing strategies
  • Must have exceptional organizational skills and ability to multitask in busy environment.
  • Strong attention to detail
  • High energy level, superior interpersonal skills and ability to function in a team atmosphere as well as independently and be flexible with hour.
  • Ability to read English and communicate effectively in the primary language of the program to which he/she is assigned.
  • Must hold a valid drivers’ license. Must have access to an operational and insured vehicle and be willing to use it to transport individuals.
