The Administrative Assistant will provide overall administrative support to the division. The Administrative Assistant is responsible for maintaining efficient and accurate office procedures, providing clerical support to the division staff, keeping meeting minutes, and maintaining administrative records.

  1. Coordinate and perform complex and varied administrative tasks requiring independent action and the setting of priorities and procedures.
  1. Perform word processing/typing for division staff to include letters, memos, and meeting minutes.
  2. Perform data processing tasks for division record keeping.
  3. Responsible for ordering and maintaining offices supplies for division while keeping in line with budgetary constraints.
  4. Coordinate appointments, staff meetings; and professional meetings as needed.
  5. Serve as point of contact for meeting communications, for assuring the appropriate people and departments participate. Assist other departments with functions and/or meetings including arranging supplies, presentations, retreats, and other functions as requested.
  6. Attend and actively participate in supervision and staff meetings.
  7. Keep accurate meeting minutes and tracking follow-up items as requested.
  8. Maintain professional, pleasant, approachable, and helpful demeanor at all times.
  9. Work in partnership with division leaders and their staff on coordination of logistics for division events
  10. Attend and actively participate in supervision and staff meetings.
  11. Attend and actively participate in all trainings as assigned.

  3. Perform all duties in accordance with the agency’s policies and procedures.


  1. High School Diploma or GED and 1-2 years administrative experience.
  2. Strongly prefer that a candidate will have a demonstrated understanding of and competence in serving culturally diverse populations.
  3. Ability to communicate effectively verbally and in writing.
  4. Ability to read and write English and communicate effectively in the primary language of the program to which he/she is assigned
  5. Ability to type 50+ words per minute
  6. Strong computer knowledge, including Microsoft Office Suite
  7. Must have knowledge of office procedures and equipment
  1. Ability to thrive in a fast-paced, team oriented environment and as well as work independently
  2. Strong organizational skills and ability to multi-task
  3. High energy level and superior interpersonal skills.
  1. Must hold a valid drivers’ license. Must have access to an operational and insured vehicle and be willing to use it to transport clients
  2. Must be able to perform each essential duty satisfactorily.
