The Administrative Assistant to the Director of Clinical Services for Deaf Services plays a critical role in ensuring the efficient and accessible operation of the Deaf Services Director of Clinical Services office. This individual will function as a trusted partner, providing high-level administrative, accessibility, and operational support to the Director of Clinical Services and serving as a liaison between the Deaf Services leadership team and internal and external stakeholders. The ideal candidate is initiative-taking, highly organized, and able to manage multiple priorities with sensitivity and professionalism.

Responsibilities

  • Coordinate and perform complex and varied administrative tasks requiring independent action and the setting of priorities and procedures.
  • Provide general administrative support, including triaging emails and phone calls, managing schedules, and preparing documents and reports.
  • Organize meetings, appointments, and events, including scheduling, confirming appointments, and preparing materials.
  • Ensure effectiveness of communication by confirming communication access prior to meetings and assist with collection of interpreter preparation materials with a minimum of three business days in advance.
  • Direct staff on the linguistic and cultural nuances of the Deaf and Non-Deaf community in relation to the design of and/or implementation of trainings, meetings, and projects. This includes advocating for preferred interpreters to be present in meetings with Clinical Director.
  • Collaborate closely with other administrative staff and departments to support daily operations and special projects.
  • Attend scheduled meetings, lectures, or events to take detailed notes on key discussions, decisions, and action items.
  • Produce typed or written notes in a timely manner, ensuring they are legible, easy to understand, and accurately reflect the content discussed.
  • Attend and actively participate in supervision and staff meetings.
  • Maintain professional, pleasant, approachable, and helpful demeanor always.
  • Adhere to all principles related to the Advocates Way.
  • Ensure that individuals are treated with dignity and respect in accordance with Advocates Human Rights Policy.
  • Perform all duties in accordance with the agency’s policies and procedures.

 

Qualifications

  • High School Diploma or GED and 1-2 years administrative experience.
  • Strongly prefer that a candidate will have a demonstrated understanding of and competence in serving culturally diverse populations.
  • Ability to communicate effectively verbally and in writing.
  • Ability to read and write English and communicate effectively in ASL.
  • Ability to type 50+ words per minute.
  • Strong computer knowledge, including Microsoft Office Suite, and Zoom platform.
  • Must have knowledge of office procedures and equipment.
  • Ability to thrive in a fast-paced, collaborative environment and as well as work independently.
  • Strong organizational skills and ability to multi-task
  • High energy level and superior interpersonal skills.
  • Must hold a valid drivers’ license. Must have access to an operational and insured vehicle.
